Privacy Policy

This Privacy Policy describes how DoctorFloors Pty Ltd ("DoctorFloors", "we", "us") collects, uses, and protects information when you use the DoctorFloors portal (the "Service").
1. Information we collect
- Account information. Name, email, phone, and (when set) password hash and profile photo.
- Operational data. Work orders, health checks, assignments, comments, store details, and related photos that you or your organisation enter into the Service.
- Sign-in data. If you sign in with Google, we receive your email address, name, and Google profile picture from Google.
- Diagnostic data. Standard server logs (IP address, user agent, request paths) used to operate and secure the Service.
2. How we use information
- To provide and maintain the Service for you and your organisation.
- To authenticate you and protect your account.
- To send transactional email about jobs, assignments, and password resets.
- To diagnose problems and improve reliability and security.
3. Sharing
We do not sell personal information. Operational data you submit is shared within your organisation according to its access rules. We share data with service providers who host or send communications on our behalf (for example, AWS for hosting and our SMTP provider for email), bound by appropriate confidentiality and data-protection terms.
4. Storage & security
Data is hosted in AWS (Amazon Web Services) in the United States. We use TLS in transit, salted password hashing for credentials, and access controls scoped to your organisation. No system is fully secure — please use a unique, strong password and notify us if you suspect unauthorised access.
5. Retention
We keep account and operational data for as long as your organisation uses the Service, plus a reasonable period afterwards for legal, accounting, and audit needs. Authentication tokens (including password reset links) expire on a short cycle.
6. Your choices
You can request access to or correction of your personal information at any time by emailing portal@doctorfloors.com. Requests for deletion are subject to our retention obligations to the organisation that owns your account.
7. Children
The Service is not directed to children under 16, and we do not knowingly collect personal information from them.
8. Changes
We may update this Policy. Material changes will be communicated via the Service or by email to the address on your account.
